The user skips the start page and enters the room directly.<\/p>\n<\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:33.33%\"><div class=\"wp-block-image\">\n<figure class=\"alignright size-full\"><a href=\"https:\/\/support.alfaview.com\/wp-content\/uploads\/2026\/03\/alfaview_administration-room-access_en.png\"><img loading=\"lazy\" decoding=\"async\" width=\"1000\" height=\"538\" src=\"https:\/\/support.alfaview.com\/wp-content\/uploads\/2026\/03\/alfaview_administration-room-access_en.png\" alt=\"In the Room Access tab, you can edit who is allowed to enter the room and with which role they enter via the direct link. Users must log in with their account details to verify that they are authorised to access the room.<\/p>\n<\/div>\n\n\n\n<h3 class=\"wp-block-heading\" class=\"wp-block-heading\" id=\"passcode-protection\">Passcode protection<a href=\"#passcode-protection\" class=\"av-heading-anchor\"><i class=\"bi bi-link\"><\/i><\/a><\/h3>\n\n\n\n<div class=\"wp-block-columns is-layout-flex wp-container-core-columns-is-layout-9d6595d7 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:66.66%\">\n<p>For greater control over access, rooms can be protected with a passcode. Before joining, participants must enter the correct passcode, which can be activated, deactivated, or updated at any time in room management. If you change rooms within a session and return without closing alfaview, you do not need to re-enter the code unless it has been changed in the meantime.<\/p>\n<\/div>\n\n\n\n<h3 class=\"wp-block-heading\" class=\"wp-block-heading\" id=\"default-user-role\">Default user role<a href=\"#default-user-role\" class=\"av-heading-anchor\"><i class=\"bi bi-link\"><\/i><\/a><\/h3>\n\n\n\n<p>If you grant users access to a room and do not select a specific role, they are automatically assigned the default user role.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>From the drop down menu, select <strong>Admin, Moderator, Participant, Spectator<\/strong> or <strong>Guest<\/strong> to specify which <a href=\"https:\/\/support.alfaview.com\/en\/administration\/general\/room-permissions\/\">role<\/a> should be used as the default user role.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\" class=\"wp-block-heading\" id=\"add-users\">Add users<a href=\"#add-users\" class=\"av-heading-anchor\"><i class=\"bi bi-link\"><\/i><\/a><\/h3>\n\n\n\n<p>You can add individual users from your Company to an alfaview room. You can either assign the default user role to the users or select a specific role. If no default user role is defined for the room, access or permissions must be defined individually for each user.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Click on the <button class=\"av-button av-button--primary\">Add user<\/button> button.<\/li>\n\n\n\n<li>Find and select a user from the search box.<\/li>\n\n\n\n<li>Choose the&nbsp;<a href=\"\/en\/administration\/general\/room-permissions\/\">permission group<\/a>.<\/li>\n\n\n\n<li>Click on the <button class=\"av-button av-button--primary\">Add<\/button> button.<\/li>\n<\/ul>\n\n\n\n<p>The user is now listed under&nbsp;<strong>Specific users<\/strong>.<\/p>\n\n\n\n<div class=\"wp-block-alfaview-callout\">\n<p>The user permissions override the default permissions. A typical application is to set the default permission <strong>Participant<\/strong> and define individual users as <strong>Moderator<\/strong> or <strong>Admin<\/strong>.<\/p>\n<\/div>\n\n\n\n<h2 class=\"wp-block-heading\" class=\"wp-block-heading\" id=\"guest-and-group-links\">Guest and group links<a href=\"https:\/\/support.alfaview.com\/en\/administration\/room-management\/edit-room\/#guest-and-group-links\"><\/a><a href=\"#guest-and-group-links\" class=\"av-heading-anchor\"><i class=\"bi bi-link\"><\/i><\/a><\/h2>\n\n\n\n<p>You can use guest and group links to invite participants to your alfaview room. These participants do not need their own alfaview user account. You can find more information and instructions on how to create these links on the&nbsp;<a href=\"\/en\/administration\/room-management\/guest-link\/\">Guest and group links<\/a> page.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" class=\"wp-block-heading\" id=\"group-names\">Group names<a href=\"https:\/\/support.alfaview.com\/en\/administration\/room-management\/edit-room\/#group-names\"><\/a><a href=\"#group-names\" class=\"av-heading-anchor\"><i class=\"bi bi-link\"><\/i><\/a><\/h2>\n\n\n\n<p>In the Group Names tab, administrators can change the names of the subgroups as well as the order of the subgroups.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" class=\"wp-block-heading\" id=\"rename-groups\">Rename Groups<a href=\"#rename-groups\" class=\"av-heading-anchor\"><i class=\"bi bi-link\"><\/i><\/a><\/h3>\n\n\n\n<div class=\"wp-block-columns is-layout-flex wp-container-core-columns-is-layout-9d6595d7 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:66.66%\">\n<ul class=\"wp-block-list\">\n<li>Click on the group whose name you want to change.<\/li>\n\n\n\n<li>Enter the desired name.<\/li>\n\n\n\n<li>Then click <button class=\"av-button--primary av-button\">Save<\/button>.<\/li>\n\n\n\n<li>For the changes to take effect, alfaview must be restarted.<\/li>\n<\/ul>\n<\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:33.33%\"><div class=\"wp-block-image\">\n<figure class=\"alignright size-full\"><a href=\"https:\/\/support.alfaview.com\/wp-content\/uploads\/2025\/11\/alfaview_administration-room-groupnames_en.png\"><img loading=\"lazy\" decoding=\"async\" width=\"1000\" height=\"538\" src=\"https:\/\/support.alfaview.com\/wp-content\/uploads\/2025\/11\/alfaview_administration-room-groupnames_en.png\" alt=\"Subgroups can be renamed. You can set your room display preferences, such as alphabetical sorting of participants or displaying all videos in 16:9 aspect ratio. Help your moderators manage the room more easily by enabling the <strong>Raise Hand<\/strong> or <strong>Copy Attendance List<\/strong> features, or allow <strong><a href=\"https:\/\/support.alfaview.com\/en\/alfaview-app\/alfaview-room\/primary-and-secondary-controls\/recording-and-streaming\/\">recording and live streaming<\/a><\/strong> in the room.<\/p>\n\n\n\n<p>Visit the <a href=\"\/en\/administration\/room-management\/room-features\/\">Room features<\/a> page for an overview of all the features you can set for each alfaview room.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" class=\"wp-block-heading\" id=\"transcription-and-translation\">Transcription and Translation<a href=\"#transcription-and-translation\" class=\"av-heading-anchor\"><i class=\"bi bi-link\"><\/i><\/a><\/h2>\n\n\n\n<p>alfaview helps you communicate more easily by offering two different transcription options:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><a href=\"https:\/\/support.alfaview.com\/en\/alfaview-app\/alfaview-room\/primary-and-secondary-controls\/live-transcription-and-digital-interpreter\/#live-transcription\">Live Transcription<\/a>\u00a0transcribes the participants\u2019 spoken language into text. This feature is limited to one spoken language in the room.<\/li>\n\n\n\n<li>The\u00a0<a href=\"https:\/\/support.alfaview.com\/en\/alfaview-app\/alfaview-room\/primary-and-secondary-controls\/live-transcription-and-digital-interpreter\/#digital-interpreter\">Digital Interpreter<\/a>\u00a0helps participants who speak different languages to communicate with each other. The Digital Interpreter automatically translates what is said into the chosen language.<\/li>\n<\/ul>\n\n\n\n<p>The translation feature helps you get more people involved and breaks down language barriers.<\/p>\n\n\n\n<div class=\"wp-block-alfaview-callout\">\n<p>To change the transcription settings, you must have&nbsp;<strong>full room admin<\/strong>&nbsp;permission. This permission is granted via the <a href=\"https:\/\/support.alfaview.com\/en\/administration\/user-management\/\">User management<\/a>.<\/p>\n\n\n\n<p>The room language and translation languages can be selected by all room administrators who have room admin permissions for the specific alfaview room.<\/p>\n<\/div>\n\n\n\n<h3 class=\"wp-block-heading\" class=\"wp-block-heading\" id=\"enabling-transcription\">Enabling transcription<a href=\"#enabling-transcription\" class=\"av-heading-anchor\"><i class=\"bi bi-link\"><\/i><\/a><\/h3>\n\n\n\n<div class=\"wp-block-columns is-layout-flex wp-container-core-columns-is-layout-9d6595d7 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:66.66%\">\n<ul class=\"wp-block-list\">\n<li>From the room list, select the conference room you want to enable the transcription feature. The room admin must change the language each time a meeting is held in a different language. For a complete transcription, all participants in the room must speak in the selected language.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Click on the drop-down menu next to&nbsp;<strong>Transcription language<\/strong>.<\/li>\n\n\n\n<li>Select the language that will be spoken during meetings in this room. You can choose from <strong>Arabic, Chinese (simplified), Danish, English, French, German, Italian, Polish, Portuguese, Russian, Spanish<\/strong>, <strong>Swedish<\/strong> and <strong>Ukrainian<\/strong>.<\/li>\n<\/ul>\n\n\n\n<h4 class=\"wp-block-heading\" class=\"wp-block-heading\" id=\"available-translation-languages\">Available translation languages<a href=\"#available-translation-languages\" class=\"av-heading-anchor\"><i class=\"bi bi-link\"><\/i><\/a><\/h4>\n\n\n\n<p>You can select up to three translation languages at the same time. These translation languages can be used to translate both the live transcription and the Digital Interpreter.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Click on the drop-down menu next to&nbsp;<strong>Available translation language<\/strong>.<\/li>\n\n\n\n<li>Tick the boxes infront of the languages you want to enable.<\/li>\n<\/ul>\n\n\n\n<div class=\"wp-block-alfaview-callout\">\n<p>Selecting more than one language means that the transcription quota is used up more quickly.<\/p>\n<\/div>\n\n\n\n<h4 class=\"wp-block-heading\" class=\"wp-block-heading\" id=\"digital-interpreter-languages\">Digital Interpreter languages<a href=\"#digital-interpreter-languages\" class=\"av-heading-anchor\"><i class=\"bi bi-link\"><\/i><\/a><\/h4>\n\n\n\n<p>With the Digital Interpreter, you can select multiple languages for the participants to choose from.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Click on the drop-down menu next to&nbsp;<strong>Digital interpreter language<\/strong>.<\/li>\n\n\n\n<li>Tick the boxes for the languages you want to enable. The languages currently available are <strong>Chinese (simplified), English, French, German, Italian, Portuguese, Russian <\/strong>and<strong> Spanish.<\/strong><\/li>\n<\/ul>\n\n\n\n<p>The changes will be saved automatically.<\/p>\n\n\n\n<div class=\"wp-block-alfaview-callout\">\n<p>In addition to the selected transcription language, you can choose up to three translation languages at the same time.
