The participants with guest or group links do not need to create an alfaview account to join a conference. Invitees will be sent an e-mail with the invitation link and further instructions on how to use alfaview and how to join a conference.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><a href=\"\/en\/administration\/room-management\/guest-link\/#guest-links\">Guest links<\/a><\/li>\n\n\n\n<li><a href=\"\/en\/administration\/room-management\/guest-link\/#group-links\">Group links<\/a><\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" class=\"wp-block-heading\" id=\"guest-links\">Guest links<a href=\"https:\/\/support.alfaview.com\/en\/administration\/room-management\/guest-link\/#guest-links\"><\/a><a href=\"#guest-links\" class=\"av-heading-anchor\"><i class=\"bi bi-link\"><\/i><\/a><\/h2>\n\n\n\n<p>Guest links are personalized, which means that each link can only be used by one person. You enter the name of the invited person when creating the link and the invited person cannot change their name themselves. The link can only be used by one person at a time.<\/p>\n\n\n\n<p>Guest links can be created in the&nbsp;<a href=\"https:\/\/support.alfaview.com\/en\/administration\/room-management\/\">Room management<\/a>. To create a guest link, please follow the instructions below:<\/p>\n\n\n\n<div class=\"wp-block-columns is-layout-flex wp-container-core-columns-is-layout-9d6595d7 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:66.66%\">\n<ul class=\"wp-block-list\">\n<li>Log in to your alfaview account on the administration page.<\/li>\n\n\n\n<li>Click on <strong>Rooms<\/strong> in the menu bar on the left.<\/li>\n\n\n\n<li>From the list of all accessible rooms, select the alfaview room for which you want to create a guest link.<\/li>\n\n\n\n<li>Click on&nbsp;<img decoding=\"async\" style=\"width: 20px;\" src=\"https:\/\/support.alfaview.com\/wp-content\/uploads\/2023\/12\/icon-settings.png\" alt=\"Settings icon\"> <strong>Settings<\/strong>.<\/li>\n\n\n\n<li>Click on the <strong>Guest links<\/strong> tab. In this tab, you can view existing links, edit existing links, and delete them.<\/li>\n\n\n\n<li>To create a new link, click on the <button class=\"av-button av-button--primary\">Invite additional guests<\/button>&nbsp;button.<\/li>\n<\/ul>\n<\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:33.33%\"><div class=\"wp-block-image\">\n<figure class=\"alignright size-full\"><a href=\"https:\/\/support.alfaview.com\/wp-content\/uploads\/2025\/11\/alfaview_guestlinks_en-3.png\"><img loading=\"lazy\" decoding=\"async\" width=\"780\" height=\"355\" src=\"https:\/\/support.alfaview.com\/wp-content\/uploads\/2025\/11\/alfaview_guestlinks_en-3.png\" alt=\"Guest links for rooms can be created in room management. You can copy the invitation link later and send it to the invitee by using your preferred communication medium.<\/p>\n<\/div>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Enter the email address and name of the person you want to invite. Select a role from the drop-down menu. You can select the preferred language from the drop-down menu next to the role menu.<\/li>\n\n\n\n<li>You can select a start and end date. If you do this, the guest link will only be valid for the selected period.<\/li>\n\n\n\n<li>To delete a guest link, click on the trash can icon.<\/li>\n\n\n\n<li>Click on the <button class=\"av-button av-button--primary\">Invite<\/button>&nbsp;button to create the guest link.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\" class=\"wp-block-heading\" id=\"create-guest-links-by-using-csv-or-xlsx-file\">Create guest links by using CSV or XLSX file<a href=\"#create-guest-links-by-using-csv-or-xlsx-file\" class=\"av-heading-anchor\"><i class=\"bi bi-link\"><\/i><\/a><\/h3>\n\n\n\n<p>If you are planning to invite multiple people at the same time using a CSV or XLSX file may be better for you.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>In the Invite guests window, click on&nbsp;<strong>Upload CSV file<\/strong>.<\/li>\n\n\n\n<li>You can now choose to enter the details manually or upload a CSV or XLSX file.<\/li>\n<\/ul>\n\n\n\n<p>To ensure that the invitation links are created correctly, please ensure that you have the following details in your file:<\/p>\n\n\n\n<div class=\"wp-block-columns is-layout-flex wp-container-core-columns-is-layout-9d6595d7 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:66.66%\">\n<ul class=\"wp-block-list\">\n<li><strong>E-mail address:<\/strong>&nbsp;Enter only one valid email address per line.<\/li>\n\n\n\n<li><strong>Name:<\/strong>&nbsp;Enter the name of the person you are inviting.<\/li>\n\n\n\n<li><strong>Role:&nbsp;<\/strong>You must enter a role. The available roles are \u201cModerator, Participant, Spectator, Guest, No access\u201d.<\/li>\n\n\n\n<li><strong>Send email:<\/strong>&nbsp;If you want the invitation link to be emailed automatically, enter \u201c<strong>true<\/strong>\u201d in this field. The link will only be valid from this date and time. Please enter the date in the format \u201e<strong>DD.MM.YYYY HH:mm<\/strong>\u201c. This setting can be configured at a later stage.<\/li>\n\n\n\n<li><strong>End date:<\/strong>&nbsp;You can enter an end date. The link will only be valid until this date and time. Please enter the date in the format \u201e<strong>DD.MM.YYYY HH:mm<\/strong>\u201c. This setting can be configured at a later stage.<\/li>\n\n\n\n<li><strong>Locale:&nbsp;<\/strong>You can choose between English and German and enter the language in this field.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\" class=\"wp-block-heading\" id=\"edit-guest-links\">Edit guest links<a href=\"#edit-guest-links\" class=\"av-heading-anchor\"><i class=\"bi bi-link\"><\/i><\/a><\/h3>\n\n\n\n<p>You can edit, re-send and delete previously created guest links. If you delete a link, it will change to inactive status and will no longer be valid. You can either edit the links individually or you can edit several links at the same time.<\/p>\n\n\n\n<div class=\"wp-block-columns is-not-stacked-on-mobile is-layout-flex wp-container-core-columns-is-layout-9d6595d7 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:50px\">\n<button class=\"wp-block-alfaview-button av-button-main-menu av-button-grey\" disabled aria-hidden=\"true\" aria-label=\"Set date\"><i class=\"icon icon-ic_access_time_24dp\"><\/i><\/button>\n<\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\">\n<p><strong>Set date<\/strong><br>You can edit the period during which the link is valid even after creating it. Alternatively, you can delete the period you set when creating the link. To do so, click the clock icon, select the date and time for either the start or end date or clear the selected date. You can deactivate the link by clicking on <strong>Expire link now<\/strong>.<\/p>\n<\/div>\n<\/div>\n\n\n\n<div class=\"wp-block-columns is-not-stacked-on-mobile is-layout-flex wp-container-core-columns-is-layout-9d6595d7 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:50px\">\n<button class=\"wp-block-alfaview-button av-button-main-menu av-button-grey\" disabled aria-hidden=\"true\" aria-label=\"Copy link\"><i class=\"icon icon-ic_link_variant_24dp\"><\/i><\/button>\n<\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\">\n<p><strong>Copy link<\/strong><br>You can copy the guest link by clicking the <img loading=\"lazy\" decoding=\"async\" width=\"20\" height=\"20\" class=\"wp-image-5430\" style=\"width: 20px;\" src=\"https:\/\/support.alfaview.com\/wp-content\/uploads\/2025\/02\/copy_link.png\" alt=\"Copy link icon\"> <strong>Copy link<\/strong> icon. You can then send the guest link via your preferred communication medium.<\/p>\n<\/div>\n<\/div>\n\n\n\n<div class=\"wp-block-columns is-not-stacked-on-mobile is-layout-flex wp-container-core-columns-is-layout-9d6595d7 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:50px\"><\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\">\n<p><strong>Role<\/strong><br>You can change the selected role of the participant. Select the new role from the drop-down menu. The changes are automatically saved and the link is updated accordingly.<\/p>\n<\/div>\n<\/div>\n\n\n\n<div class=\"wp-block-columns is-not-stacked-on-mobile is-layout-flex wp-container-core-columns-is-layout-9d6595d7 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:50px\">\n<button class=\"wp-block-alfaview-button av-button-main-menu av-button-grey\" disabled aria-hidden=\"true\" aria-label=\"edit menu\"><i class=\"icon icon-ic_more_vert_24dp\"><\/i><\/button>\n<\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\">\n<p><strong>Resend invitation email \/ Delete guest link<\/strong><br>There are two additional functions available in the context menu:<\/p>\n\n\n\n<div class=\"wp-block-columns is-layout-flex wp-container-core-columns-is-layout-9d6595d7 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:50px\">\n<button class=\"wp-block-alfaview-button av-button-main-menu av-button-grey\" disabled aria-hidden=\"true\" aria-label=\"resend invitation email\"><i class=\"icon icon-ic_send_24dp\"><\/i><\/button>\n<\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\">\n<p><strong>Resend invitation email<\/strong><br>The guest link will be resent immediately after you click on this function.<\/p>\n<\/div>\n<\/div>\n\n\n\n<div class=\"wp-block-columns is-layout-flex wp-container-core-columns-is-layout-9d6595d7 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:50px\">\n<button class=\"wp-block-alfaview-button av-button-main-menu av-button-grey\" disabled aria-hidden=\"true\" aria-label=\"delete guest link\"><i class=\"icon icon-ic_delete_24dp\"><\/i><\/button>\n<\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\">\n<p><strong>Delete guest link<\/strong><br>Clicking on this function allows you to delete the previously created guest link. Confirm the deletion by clicking the <button class=\"av-button av-button--error\">Delete<\/button> button in the new window.<\/p>\n<\/div>\n<\/div>\n<\/div>\n<\/div>\n\n\n\n<h4 class=\"wp-block-heading\" class=\"wp-block-heading\" id=\"update-multiple-links\">Update multiple links<a href=\"#update-multiple-links\" class=\"av-heading-anchor\"><i class=\"bi bi-link\"><\/i><\/a><\/h4>\n\n\n\n<div class=\"wp-block-columns is-layout-flex wp-container-core-columns-is-layout-9d6595d7 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:66.66%\">\n<ul class=\"wp-block-list\">\n<li>If you want to edit several links at the same time, click on the switch next to <strong>Update multiple links<\/strong>.<\/li>\n\n\n\n<li>Now select the links you want to update by clicking in the corresponding box. If you want to update all links, click in the box next to <strong>Select all<\/strong>.<\/li>\n\n\n\n<li>You can now set the time period, let the link expire or assign a new role and save the changes by clicking on the <button class=\"av-button--primary av-button\">Update links<\/button> button.<\/li>\n\n\n\n<li>If you want to delete the selected links, click on the <button class=\"av-button av-button--error\">Delete selected<\/button> button. They are also useful if you want to assign a role to many people at the same time.<\/p>\n\n\n\n<p>Group links can be created in the&nbsp;<a href=\"https:\/\/support.alfaview.com\/en\/administration\/room-management\/\">Room management<\/a>. You can either edit the links individually or you can edit several links at the same time. Alternatively, you can delete the period you set when creating the link. To do so, click the clock icon, select the date and time for either the start or end date or clear the selected date. You can deactivate the link by clicking on <strong>Expire link now<\/strong>.<\/p>\n<\/div>\n<\/div>\n\n\n\n<div class=\"wp-block-alfaview-callout\">\n<p>As soon as the link expires, it will no longer possible to enter an alfaview room using that link.<\/p>\n<\/div>\n\n\n\n<div class=\"wp-block-columns is-not-stacked-on-mobile is-layout-flex wp-container-core-columns-is-layout-9d6595d7 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:50px\"><\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\">\n<p><strong>Role<\/strong><br>You can change the selected role of the participants. Select the new role from the drop-down menu. The changes are automatically saved and the link is updated accordingly.<\/p>\n<\/div>\n<\/div>\n\n\n\n<div class=\"wp-block-alfaview-callout\">\n<p>If you select&nbsp;<strong>No access<\/strong>&nbsp;as the role, all participants who have used this link to join an alfaview room will automatically lose access to the alfaview room and will be permanently removed. You can now click on the field with the original group description. Confirm the deletion by clicking the <button class=\"av-button av-button--error\">Delete<\/button> button in the new window.<\/p>\n<\/div>\n<\/div>\n<\/div>\n<\/div>\n\n\n\n<div class=\"wp-block-alfaview-callout\">\n<p>Once the room has reached its allotted number of participants, each additional participant automatically becomes a spectator until the room reaches its maximum capacity.<\/p>\n<\/div>\n\n\n\n<h4 class=\"wp-block-heading\" class=\"wp-block-heading\" id=\"update-multiple-links\">Update multiple links<a href=\"#update-multiple-links\" class=\"av-heading-anchor\"><i class=\"bi bi-link\"><\/i><\/a><\/h4>\n\n\n\n<div class=\"wp-block-columns is-layout-flex wp-container-core-columns-is-layout-9d6595d7 wp-block-columns-is-layout-flex\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\" style=\"flex-basis:66.66%\">\n<ul class=\"wp-block-list\">\n<li>If you want to edit several links at the same time, click on the switch next to <strong>Update multiple links<\/strong>.<\/li>\n\n\n\n<li>Now select the links you want to update by clicking in the corresponding box. If you want to update all links, click in the box next to <strong>Select all<\/strong>.<\/li>\n\n\n\n<li>You can now set the time period, let the link expire or assign a new role and save the changes by clicking on the <button class=\"av-button--primary av-button\">Update links<\/button> button.<\/li>\n\n\n\n<li>If you want to delete the selected links, click on the <button class=\"av-button av-button--error\">Delete selected<\/button> button.
